Below is information on domestic buyer registration for 2009's International Pow Wow in Miami. Look for updated information in the fall of 2009.
Domestic Buyer Registration
Pre-registration for International Pow Wow is closed; however, registrations are accepted and welcomed for U.S. Supplier delegates onsite at the Miami Beach Convention Center. No onsite registrations will be accepted for buyers.
There is no spouse or family program, and no partial registration will be given for attendance at International Pow Wow social events.
The International Pow Wow Registration/Information Desk will be located in C-126 on the Main Level of the Miami Beach Convention Center, and will be open the following hours:

The U.S. Travel Association invites qualified buyers from U.S. organizations to attend International Pow Wow to take advantage of meeting thousands of U.S. Suppliers in one location. This registration category offers Receptive Tour Operators, Domestic Wholesale Buyers, and Online Travel Organizations the opportunity to conduct business through a unique, pre-scheduled appointment system.
Registration is online! It's fast and easy to use. If your organization is a qualified U.S. Travel Association Member or attended International Pow Wow in 2008 you will receive login codes to submit your International Pow Wow 2009 registration online. You can update your contact and organization profile information, register delegates, and submit payment -- everything you need to register with the click of a few buttons.
**Note: You will NOT be able to cancel any item from your previous purchases without contacting U.S. Travel at powwowreg@ustravel.org.

Eligibility and Conditions for Acceptance
Receptive Tour Operators
- Must be U.S. based organizations exhibiting at International Pow Wow.
- Limited to one Domestic Buyer registration per organization (not one per booth space, i.e., not three (3) Domestic Buyers for a triple booth).
- Cannot register an individual as both exhibit booth staff and a Domestic Buyer.
- Individual registered as a Domestic Buyer can only request appointments with those Exhibitors who have not selected to Opt Out of the Domestic Buyer Appointments Option.
Domestic Wholesale Buyers and Online Travel Organizations
- Must be U.S. based organizations.
- Are not eligible to have an exhibit booth.
- Individual registered as a Domestic Buyer can only request appointments with those Exhibitors who have not selected to Opt Out of the Domestic Buyer Appointments Option.
All Domestic Buyer registration is subject to U.S. Travel Association approval.

You must include payment by February 20, 2009 to take advantage of the early registration discount.
The cutoff date for registration is April 10, 2009. No onsite registrations will be accepted.
Domestic Buyer Registration Includes:
- Up to 44 pre-scheduled appointments with Exhibitors who have not selected to Opt Out of the Domestic Buyer Option;
- Lodging at an official Host Hotel as assigned by U.S. Travel for five (5) nights, beginning Saturday, May 16 with check out on Thursday, May 21 (room and tax only);
- Round-trip airport/hotel/ground transfers in Miami and between function sites;
- All meals and related functions which are an official part of International Pow Wow;
- Miami Sightseeing and Post-Familiarization Tours; and
- Year-long organization listing on powwowonline.com and online access to all registered U.S. Suppliers.

Payments, Substitutions and Cancellations Full payment must accompany your application. Payment should be made in U.S. dollars, drawn on a U.S. bank, or with one of the following credit cards: American Express, Diners Club, Discover, MasterCard, or Visa. Please make checks payable to: U.S. Travel Association / Pow Wow. If paying by check when registering online, select the button indicating payment by check. Your registration will not be processed until your check is received by the U.S. Travel Association.
In the event you are unable to participate in International Pow Wow, another qualified employee from your organization may be substituted pending approval by U.S. Travel. If you are currently registered and you have corrections or changes, please email them to us at powwowreg@ustravel.org.
There is no charge for name changes/substitutions.
In the event of a Domestic Buyer cancellation, the registration fee will be refunded in full if written cancellation notice is received by U.S. Travel on or before February 4, 2009. Notices received after February 4, 2009 will receive a 50% refund. No refunds will be granted for registration cancellations received after March 2, 2009.
Refunds due from credit card payments will be credited back to that credit card account. Refunds due from check payments will be refunded by check sent by mail. If you require the refund check to be sent by express mail, a $25 processing fee will be deducted from your amount due.
The U.S. Travel Association cannot be held liable for any financial responsibilities incurred on the part of individual delegates or organizations.

Accommodations Lodging is provided to approved Domestic Buyers for five (5) nights, beginning Saturday, May 16 with check-out on Thursday, May 21 (room and tax only). The U.S. Travel Association will make hotel reservations for Domestic Buyers at an assigned International Pow Wow official Host Hotel. You will be notified of your hotel assignment in advance. Should you wish to arrive earlier or stay later, you will be responsible for the additional charges at discounted rates (subject to availability). You are also responsible for any personal charges (telephone, room service, etc.) incurred during your entire stay.
The U.S. Travel Association cannot guarantee that we can accommodate requests for assignment to a specific Host Hotel. Nor can we guarantee that we can accommodate requests for changes to arrival and departure dates received after April 10, 2009.
The U.S. Travel Association will not pay for hotel rooms for Domestic Buyers who choose to stay at a hotel other than the Host Hotel assigned by U.S. Travel. Any Domestic Buyer who stays in a hotel other than the one assigned will be responsible for his/her own room charges, and will be charged at the prevailing U.S. Supplier rate.

Transportation Ground transportation will be provided in Miami from the airport to your assigned hotel on Friday, May 15, Saturday, May 16, and Sunday, May 17 during specified hours. Stop by the International Pow Wow Welcome Desk at the airport before boarding your shuttle bus. Return service to the airport is provided on Thursday, May 21 only.
Official International Pow Wow shuttle buses will provide complimentary transportation between Host Hotels and the Miami Beach Convention Center as well as from the Host Hotels to the official evening events. Shuttle bus schedules will be provided in the official program and will be posted in the Host Hotel lobbies.
Delegates seeking transportation to other sites, hotels or International Pow Wow functions at times other than official hours or posted shuttle schedule times must make and pay for their own arrangements.

Appointment Scheduling NOW is the time to start preparing for appointment scheduling. Use powwowonline.com to contact the Exhibitors now with whom you wish to meet at International Pow Wow. Be sure they know you are attending and ask them to request an appointment with you. This will dramatically increase the chance of having an appointment pre-scheduled because priority is given to mutual requests.
In March 2009, you will be notified when the Online Appointment Scheduling is available to search for and request appointments with Exhibitors. Your registration will not be considered valid if you do not submit appointment requests to the U.S. Travel Association on or before April 6, 2009.
As a condition of acceptance of your registration, you must agree to keep your pre-scheduled appointments. The U.S. Travel Association and the U.S. travel industry make a large investment to host you at International Pow Wow and in return we ask that you make every effort to honor your pre-scheduled and onsite commitments. Future attendance at International Pow Wow will be denied to those Domestic Buyers who consistently cancel, "no show" or do not attend their appointments.
Due to the availability of numerous appointment scheduling opportunities such as powwownline.com, the Monday morning Appointment Scheduling Session and the onsite Message Centers, refunds are not issued to buyers who do not receive pre-scheduled appointments.
